Send new clients an intake packet

An intake packet is a pathway whose steps all reach the client at once: your intake form, your consents and the questionnaires you want before the first session. You make it once and send it to each new client by putting them on it.

You can make a packet in two ways:

  • From a paper packet: import the blank packet as one PDF and click Make an intake packet. The portal saves each form and consent as a worksheet and makes the pathway, with the questionnaires CopingCard already has. See Import a blank form from a PDF, Word file or photos.
  • By hand: first create each form as a worksheet (see Create a worksheet). Then create a pathway with one step for each form or questionnaire, each with the release rule At enrolment.

For a consent, switch on Signature required (a consent) in the worksheet’s settings, so the client signs it in the app.

  1. On the client’s page, click the Homework tab.
  2. Click Enroll in a pathway.
  3. Under Pathway, choose the intake packet.
  4. Click Enroll.

Within a minute, every form and questionnaire of the packet is on the client’s homework list, and CopingCard tells them. They fill in and sign each one in the app.

  • On the Homework board, the Pending documents column counts, for each client, the intake forms and consents not sent yet and the consents not signed yet.
  • On the client’s page, the Worksheets & documents tab lists each form with its status. Click Pending to see only what is still open. See See a client’s worksheets and documents.
  • To nudge the client, send a homework reminder on the form.
